Privacy Notice.

What HealthAdmin collects, why, and what you can ask us to do about it. Written to be read rather than to be impressive.

Who this notice is from

HealthAdmin is a sole proprietorship providing healthcare administration and practice-revenue support services to healthcare providers in South Africa. In this notice, "HealthAdmin", "we" and "us" refer to that business.

Yolandi du Plessis is the Information Officer for HealthAdmin, registered with the Information Regulator of South Africa under registration number 2026-064282. She can be reached on 084 301 6520.

This notice explains what personal information we collect through this website and in the course of providing our services, why we collect it, and what you can ask us to do about it.

What we collect

When you complete the Practice Assessment form on this website, we collect the information you choose to give us:

  • Your name and your professional role
  • Your practice name and practice type
  • Your phone number and email address
  • The province your practice operates in
  • The service area your enquiry relates to
  • Anything you write in the message field
  • Your consent to us responding to the enquiry

If you phone or message us instead, we collect whatever you tell us during that contact so that we can respond to it.

Where a practice engages HealthAdmin, further information is exchanged in order to do the work. That exchange happens under a separate written mandate agreed with the practice, not through this website.

Patient information

We do not want patient medical information through this website, and we ask you not to send it. Please do not include diagnoses, identity numbers, medical scheme membership numbers, medical records or clinical documents in the enquiry form.

Where clinical or patient documentation is genuinely required to work a claim, an authorisation or a motivation, it is requested directly from the practice under an agreed written mandate and handled through appropriate channels.

If patient information reaches us through the website enquiry form despite this request, we will remove it from that channel and deal with it appropriately.

Why we use it

  • To respond to your enquiry and arrange a Practice Assessment
  • To provide the services a practice has engaged us to provide
  • To keep records of what was done, when, and on whose instruction
  • To meet legal, regulatory and record-keeping obligations that apply to us

We do not sell personal information, and we do not use enquiry details to send marketing you did not ask for.

Who we share it with

Where a practice has engaged us, we deal with medical schemes and their administrators on that practice's instruction and within the mandate agreed. That is the purpose of the engagement.

We also use service providers to run this website and to deliver enquiry emails. Those providers process information on our behalf and are not permitted to use it for their own purposes.

We may disclose information where the law requires it, or where it is necessary to establish, exercise or defend a legal claim.

Security and how long we keep it

We take reasonable steps to protect the information in our care against loss, unauthorised access and misuse, taking into account the nature of the information and the size of the business.

Enquiries that do not lead to an engagement are kept only for as long as there is a reason to keep them. Records relating to work actually performed are kept for as long as required for the engagement and for any period the law requires afterwards.

Your rights

Under the Protection of Personal Information Act you may ask us what personal information we hold about you, ask us to correct or delete it, object to how we are using it, and withdraw a consent you previously gave.

To make any of those requests, phone 084 301 6520 and ask for the Information Officer. We will explain what we need in order to deal with the request and how it will be handled.

Withdrawing consent does not affect anything we did lawfully before you withdrew it, and it may mean we can no longer respond to an enquiry or continue an engagement.

Complaints

If you are unhappy with how we have handled your personal information, please raise it with us first so we have the chance to put it right.

Cookies and analytics

This website does not set advertising or tracking cookies, and it does not build a profile of you across other websites.

If analytics or any other tracking is added to this site in future, this notice will be updated before that happens and appropriate consent will be obtained where it is required.
